Enterprise account admins with access to the Teams feature also have the ability to invite presenters to their account or to their Teams using a CSV file. Inviting presenters via CSV allows admins to send out a large quantity of invites at once, pre-assign those presenters to specific Teams, and assign existing presenters to Teams. Step 1: Log into your account, click on the gear icon in the bottom left, and proceed to the Account admin section to access your Manage presenters page.
Step 2: From the Manage presenters page, select the option to Invite via CSV. The following screen will show you an example of the CSV format for bulk presenter invitations, and allow you to download a template CSV file that you can use to create your invitation list.
Important Note: We recommend your CSV be no more than 500 presenters. If you need to take action on more than 500 presenters at a time, we recommend you batch them in CSVs of 500 lines or less.
Step 3: Download the template CSV file and build the list of presenters and Teams you wish to invite. Presenters will need to be listed in the first column of the CSV under the 'Email' header. Team names should be defined in the columns to the right and will require a 'Team' header. Unique Team names do not need their own individual column label, they can be listed in any column to the right of the Email. When you are done, save your upload document as a CSV.
Note: Before you proceed, be aware that the Teams in your CSV file will be created as soon as the file is imported. On the next screen you will see the details of the Teams created and recognized, and have the ability to check your presenters’ email addresses before sending the invites.
Step 4: Upload your CSV. Once the CSV is imported, you will be redirected to the invite confirmation screen.
Step 5: The invite confirmation screen will give you an overview at the top that will show you the Teams created and recognized, followed by a report of the presenters you uploaded. This screen will also show you how many presenters will be invited, how many current presenters will be added to Teams, and how many emails will not be processed due to lack of presenter licenses or errors with the email addresses. Review the invitation table, and click 'Invite' at the bottom of the page when you are confident you wish to proceed.
Step 6: Once the invites are sent, you will be redirected back to the presenters tab of the Manage presenters page. You can then navigate to the Invites or Teams tabs to confirm the actions taken.
Note: Large uploads may take time to process. It could take a number of minutes for your Invitations and your Teams to appear correctly on the Manage presenters page.
That's it! Your invites are now sent and the presenters will be automatically added to the corresponding Teams when they accept your invite and join your account.
