From efficient Q&A sessions to comprehensive post-event reporting, Poll Everywhere offers a streamlined and dynamic experience that’s easy for everyone to participate in.

    Multi-Stage Q&A Management for AV Staff

    For efficient multi-stage Q&A and engagement, AV staff can use Poll Everywhere to manage activities seamlessly. 

    Step 1: Determine Stage Requirements and Access Needs

    • Event Planner: For event planners requiring an account and individual speaker access to Poll Everywhere, reach out to Whitney Pembroke at whitney@polleverywhere.com.

      • The event planner should add a separate presenter for each stage within the main Poll Everywhere account. This setup provides each stage with unique QR codes and join links, ensuring that each room can run its own Q&A independently.

      • The planner should ensure to share the login details for each stage (typically a provided email and password) with AV staff.

    Step 2: Pre-event test and Setup on Each Stage

    • AV or production staff: 
      • Verify that the AV team has username (registered email address) and password access for the stage account to log in as needed.
      • Log into each stage’s designated presenter on a web browser in each room.
      • Navigate to the Q&A poll that was set up previously, and present it to test.
      • Join the the Q&A as a participant, and submit a response as a test.
      • Ensure AV or production staff know how to use Poll Everywhere's "star" feature to highlight questions and navigate between questions in real time with the arrow keys.Screenshot 2024-11-06 at 13.49.37.png

    Step 3: QR Code Setup for Attendees

    • Ensure QR codes are visible at the start of each session via screens, handouts, or download links, making it simple for attendees to participate.

    • Announce when sessions begin so attendees know to join the Q&A and submit questions that will appear on-screen for the closing Q&A segment.

    Step 4: Live Q&A Moderation

    • Just before the Q&A session, the AV team should hit present on the Q&A poll. When ready project it on-screen for audience participation.

    • If available, use a confidence monitor for speakers to view incoming questions directly.

    • Production or AV team can highlight questions and progress to new questions in real-time

    • Activate Q&A and use moderation to filter responses and highlight key questions in real time. Learn more about moderation features.

    Setting Up Poll Everywhere for Conferences for speakers

    Step 1: Account Access for Speakers

    • For events requiring individual speaker access, reach out to the event planner. 

    Step 2: Using Poll Everywhere Slideware Integration:

    • Where possible, ensure the use of a personal computer or coordinate with the A/V team to verify that the Poll Everywhere PowerPoint integration is active and properly logged in to the speaker's account on the presentation computer.

    Step 3: Create and Customize Activities:

    • Create tailored polls, and Q&A questions for each session. Learn more here: Create a Q&A activity. 
    • QR Code: Collect questions with a QR code displayed during the session or shared through various channels. Attendees can scan it to submit their input. Learn more about QR codes here: QR codes

    Step 4: Rehearsal and Setup (Optional)

    • We encourage speakers to rehearse using Poll Everywhere, where possible, and plug in their own devices or work with the A/V team using conference devices, checking visual layout, pacing, and Q&A visibility.
    • Discuss how questions will be displayed and managed in real-time, including moderation options.

    Step 5: During the Session

    • Start polls or Q&A as planned, keeping an eye on participation and adjusting for timing as needed. Please refer to step 2 on how to insert activities into your slide deck or present from the web for guidance.
    • Poll Everywhere automatically gathers response data for later analysis; speakers can also highlight responses during the session to keep the audience engaged.
